How to Read the Day-End Report: Turnover, Collections, VAT and Profit/Loss

A day-end report sums up a day's sales in a few cards, but if you do not know what each card means, the gap between the cash in the drawer and the figure on screen becomes a matter of opinion. Knowing which payment lands on which card, how VAT is calculated and what the open accounts card shows turns the report from a list of numbers into a decision tool. Here is the RoxPos day-end report, section by section.

How the business day is calculated

RoxPos cuts the day according to the branch's working hours and time zone, not the calendar day. For a venue open until 2 a.m., sales after midnight are written to the same business day; if no working hours are defined, the calendar day is used. You can open the report for today, this week, this month or a custom date range.

Collection cards: Cash, Card, Other and Store Credit

The Cash card totals only the fixed Cash payment type and the Card card only the fixed Credit Card type. Payment types you add yourself, such as meal cards, appear under Other, and the payment type breakdown section lists how much each type took. Store Credit is the amount charged to customer accounts and has its own card. Tips are kept out of sales and, when there are any, appear on their own card.

Turnover, VAT and open accounts

VAT is calculated on a separate card for each rate with sales, assuming prices include VAT, so you can read the amount per rate directly from these cards. The Discount card is the total of item and check discounts. The Open Accounts card does not show customer debt: it shows the total of checks that are open right now, regardless of the date range, and seeing it drop to zero at closing tells you all tables have been closed.

Item, group and staff sections

The item sales section gives quantity, unit and amount, and the product groups section shows the split by the groups you defined in settings. User Performance lists each user's number of checks, sales, discounts, voided amount and average. The table usage summary shows the average number of guests and how long tables stayed open. To see which items made up a single check and who took the payment, open the Closed Check Detail report.

Profit/Loss and exporting

The Profit / Loss report shows total sales, total cost, gross profit and gross margin, both as a summary and per product. Cost comes from the average cost (AVCO) of the stock card that matches the product code; a product with no cost on its stock card counts as zero cost and shows a 100% margin. Reports can be downloaded as PDF (summary or detail) and Excel, and the day-end report can also be printed on the receipt printer.

  • Compare the drawer count with the Cash card; if there is a difference, check the payments by type in Closed Check Detail.
  • If you have the permission, a payment taken with the wrong type can be corrected on the closed check within the same business day.
  • Check products showing a 100% margin in Profit / Loss; it usually means the stock card has no cost.
  • The mobile app's iOS and Android home-screen widget refreshes the day's turnover, cash and card totals and open accounts whenever the app syncs.

Frequently Asked Questions

Which day do sales after midnight belong to?

If the branch has working hours defined, they belong to the business day on which it opened; otherwise the calendar day is used.

Does the Open Accounts card show customer debts?

No. It shows the total of checks that are open right now. Amounts charged to customers are tracked on the Store Credit card and on the Customer Accounts screen.

In which formats can the day-end report be taken?

It is shown on screen, printed on the receipt printer and downloaded as PDF (summary or detail) or Excel; in the mobile app the file is sent through the phone's share menu.
