Accurate stock tracking depends on recording everything that comes in and goes out with the same discipline. If the supplier's waybill goes into one notebook, spoiled goods onto another list and staff meals nowhere at all, neither stock nor cost adds up at month end. In RoxPos all of these movements are entered from a single Stock Movement screen by choosing a document type.
One screen, recorded by document type
In the Stock Movement window you first choose the document type, such as entry without document, waybill, invoice, wastage or production. Then 'Add Row' lets you add as many lines as you need to the same document, and the grand total is shown at the bottom. A twenty-line fruit and vegetable waybill is recorded in one go, as a single transaction.
Goods received: waybills, invoices and suppliers
On entry documents the supplier is chosen from your account cards. The invoice type requires a unit cost on every line, which prevents cost-free entries from distorting profit calculations. A saved entry increases the stock quantity and updates the item's average cost (AVCO). The latest stock entries report also shows which supplier the goods came from.
Wastage: spoiled, broken, lost
Goods that cannot be sold are deducted with a Wastage document and a reason: spoilage / expired, breakage / damage, waste (production loss), loss / theft or other. A description is mandatory, so at month end the answer to why there is so much waste is already on record. Wastage movements are listed in a separate section of the stock reports.
Staff consumption is tracked separately
A staff meal is not waste, but it still has to leave stock. When Staff consumption is chosen on a wastage document, you also pick the employee who consumed it, and the movement is recorded as consumption rather than waste. It has its own section in the reports, and its cost comes from the unit cost entered or, if none was entered, from the last purchase price. That way you can separate staff costs from genuine waste.
Automatic deduction from sales and online orders
For sales, stock is deducted not when an item is added but when the check is closed or fully paid, and the same sale is never deducted twice. With recipe management on, the ingredients in the product's recipe are deducted; with it off, the product itself is deducted if stock tracking is enabled for it. For Getir, Uber Eats (Trendyol) and Migros orders, mapped products can be deducted from stock via a setting, and a product that falls to critical stock can be paused on the platform. Stock is allowed to go negative and sales are never blocked, so recording entries on time matters.
- Watch the Stock Value, Purchase Cost and Exit Cost cards on the stock dashboard every week; the Stock Health chart highlights items that are running low or have gone negative.
- The current stock report shows quantity, last purchase price and stock value together; you can take reports as PDF, Excel or a printed slip.
- Set up products sold by the kilogram, gram or litre with the right unit; weighed sales can use scale readings through the print agent.
