The Notification Flow in a Restaurant: QR Order Approval, Waiter Calls and Instant Alerts

Ordering and calling a waiter by QR at the table takes a guest only seconds; the real challenge is getting that request to the right person without it being missed. A QR order that never raises an alert keeps the guest waiting just like an unanswered wave. The guest side: ordering and calling a waiter

The guest scans the code on the table, sees the menu in their own language, adds items to the basket and sends the order, with a note if they like. The screen confirms the order was received and is waiting for waiter approval, and the My orders section shows each item as awaiting approval, approved or rejected. The waiter button sends a call after a confirmation step, and repeated calls from the same table are limited for a short time. Ordering and calling require a table-specific QR code; the branch QR code only shows the menu.

The staff side: approval, bell and table card

QR orders wait for approval by default. The table screen shows how many orders are awaiting approval, and staff decide with 'Approve All' or 'Reject'. Items that are not approved, or are rejected, never reach the check total, the kitchen, the kitchen display or the reports. If you prefer, you can switch on automatic approval and automatic printing in the QR menu settings. A table with a new order or call stands out on the table plan with a notification marker, and the bell icon in the panel and the mobile app lists notifications. When a table is closed, its notifications are closed too.

Phone notifications and sounds

New QR orders, waiter calls and new online orders arrive in the mobile app as push notifications, and tapping a table notification opens that table. Notifications go only to users who are allowed to open the related menu. When an order is prepared on the kitchen display, a ready notification is sent as well. In the web panel, General Settings › Notification Sounds lets you pick, preview or mute a separate tone for table orders, online orders and the kitchen display; the choice is stored on the device you use.

Tips for a good setup

  • Table QR codes, waiter calls and basket ordering are switched on separately in the QR menu settings, and all are off by default; enable the ones that suit your venue.
  • If an approval queue builds up at peak times, consider automatic approval; in quieter hours manual approval gives you more control.
  • If you want orders and calls to come only from inside the venue, use the option that restricts them to the venue's Wi-Fi or IP address.
  • If you log in to more than one company on the same phone, notifications go to the company that was last active on that device.

Does a QR order reach the kitchen without approval?
