The goods have arrived and the invoice is in your hand; now every line has to be typed into the stock entry. A twenty-line wholesaler invoice takes ten minutes, gets postponed on a busy day, and your stock starts to look wrong. In RoxPos, AI invoice reading turns this around: you upload the document, the lines arrive ready, and you only check them.
How Does It Work?
- In a stock movement you choose the "File" method and upload the e-invoice PDF or take a photo of the paper invoice.
- The date, document number, supplier and lines (quantity, unit price, VAT) are read.
- Each line is matched to your products: exact matches show green, approximate ones yellow, unmatched ones red.
- You check, correct if needed and transfer; the lines arrive in the stock entry and you save it.
Matching That Learns: The Same Line Is Not Asked Twice
In your system the product is called "Sarıkız Soda", while the invoice says "Sarıkız Soda 250 ml Bottle". The first time, you confirm the match; RoxPos remembers it together with the supplier. When the same line comes again from the same supplier, it is matched without asking. The supplier's own product code and barcode are learned too. Matching uses no AI and no credits.
How Are Credits Used?
- Text e-invoice PDF: read without AI; if the lines agree with the document's net total and VAT, no credit is used.
- Photo or scanned document: read with AI; each page read uses 1 credit.
- Same file: if uploaded again within 30 days, the earlier result is returned and no credit is used.
- Unreadable document: if no result is produced, the credit is returned. Credits never expire.
Menu Images with the Same Credits
Credits are not only for reading documents. You can create an image from the name of a product that has no photo, or enhance a photo taken with your phone to look like a studio shot; each attempt uses 1 credit and you see the result before saving. Details: AI menu images.
Getting Started with RoxPos
No credits are needed to read text e-invoice PDFs; you can try it right away with the "File" method in a stock movement. For photos, scanned documents and image operations, AI credits are bought in the panel under Settings ▸ Licences; they are used until they run out and never expire.
